Ordering supplies

Certain lab supplies can be purchased from Amazon/other retailers using the P Card and expensed at the end of the month, while others must be ordered through a purchase requisition (via UNITY).

Stuff that is generally okay to purchase using the P Card include sanitary supplies (e.g., Lysol wipes, dishsoap, Kleenex, sponges, etc.), small computer equipment (e.g., adapters, chargers, Go Pro supplies, SD cards), participant compensation/toys (e.g., gift cards, small kids toys, stickers, etc.) and other items that don't fall into the categories below. If ever you're unsure, email procurement!

Computers and large computer peripherals must be ordered through procurement. On UNITY, you'll find a link to where you will be presented with different tiles for different types of purchases. For computers, typically we are fine to order standard Dell/Mac computers from the list of available options. Once you've selected a computer from the catalogue, you must request a quote (it will be emailed to you) and complete the purchase requisition in UNITY using the information in the quote. It will then go through a chain of approvals and finally be ordered by procurement. When it arrives, it will go to IITS to be set up (be sure to contact them for specifications, like a local lab account!) and then will be ready for pick up/delivery to the lab. Since this purchase is already submitted through administration, it will not be on the P Card report at the end of the month and you will not have to further expense it.

Office supplies must always be purchased through the Concordia University Staples Catalogue (another of the ARIBA Guided Buying tiles). To get free shipping, you must spend $40 so it is good to plan ahead and place a larger order when there are more supplies to be purchased. Printer paper is one of the most common "urgent" office supplies, so keep an eye on our stock and plan a purchase when we start getting low. Deliveries usually take around 2 weeks to arrive, so try to avoid any very last minute purchases. Good things to add to the Staples orders include pens and highlighters (if running low), study binders, clear plastic paper protectors, binder dividers, tape, etc. In certain cases, it may be possible to order office supplies from outside Concordia's catalogue if they are significantly cheaper elsewhere – email procurement to check in advance of making the purchase.

Printer ink is ordered from a separate catalogue. The Brother printer in the lab uses this ink: Original BROTHER HL-L8360 MFC-L8900 Noir/Black 6,5K.

The process for submitting the purchase order is the same as for computers, but the fields will be different. Typically, procurement is able to correct any errors you may make while submitting the report (as long as the details on our end are correct, like grant code and delivery location), so don't worry too much about this :).
